Scheduling an Event in Zoom (non-class meeting)

How to schedule an event in Zoom for a non-class meeting.

Body

This article lists the recommended settings for events in Zoom that are NOT class meetings. Faculty should not use these settings for class meetings in Zoom. Faculty who would like to use Zoom for class meetings should refer to the following article, Recommended settings for Zoom class meetings in Canvas.

Registration

Required. This option is recommended for events (non-class meetings). This allows for better awarding of professional development to employees.

Meeting ID

""

Generate Automatically. Do not use Personal Meeting ID for events.

Security

""

Passcode is checked by default. This is the recommendation security setting for events.

Waiting Room is unchecked by default. It is recommended to use the Waiting Room for events (but not for class meetings).

  • Using the Waiting Room allows hosts, co-hosts, and guest speakers to set up before attendees are allowed into the event.
  • Waiting Room should be turned off after the event starts.

Meeting Options

  • Enable join before host. Leave this unchecked for events to allow host, co-hosts, and guest speakers time to set up.
  • Mute participants upon entry. This option is checked by default for events.
  • Only authenticated users can join. If this option is used, please note that Seminole State College employees do not have Zoom accounts automatically created for them; they will need to manually create them at https://seminolestate.zoom.us/signin .
  • Authentication options:
    • Sign in to Zoom.
    • SSC employees only  
    • SSC email addresses only
  • Record the meeting automatically...in the cloud. This option is recommended for events.

Alternative Hosts vs. Co-hosts

Alternative Host

If you are co-presenting, consider adding the co-presenter as an Alternative Host. The Alternative host can start the meeting before the Host arrives. If the host starts the meeting, the alternative host will automatically be made a co-host for the meeting. The Alternative Host must have a Licensed Zoom account at Seminole State College. 

Co-Hosts

The co-host feature allows the host to share hosting privileges with another user such as screen-sharing or managing participants. The host must assign a co-host. There is no limitation on the number of co-hosts you can have in a meeting or webinar. You can make co-presenters who are outside of Seminole State or do not have a Seminole State College licensed account co-hosts after you start the meeting.
